MailVue Privacy Policy

MailVue ("we," "our," or "us") provides a software platform for mail center operators and their customers. This Privacy Policy describes how we collect, use, and protect information when you use our services.

For the SMS program described in this policy, MailVue is the messaging brand. MailVue is a software platform operated by Bluebonnet Mail Center LLC and delivers transactional mail-arrival and pickup notifications for participating independent mail centers.

1. Information We Collect

We collect the following types of information:

• Account information — name, email address, phone number, and permanent mailing address (required for CMRA compliance under USPS regulations)
• Payment information — processed via Stripe; we do not store full card numbers
• Form 1583 documents — identity verification forms and supporting ID documents required by USPS for commercial mail receiving agencies
• Mail metadata — sender names, tracking numbers, item types, carrier information, and dates associated with mail items received on your behalf
• Document scans — scanned images and OCR text of mail items you request be scanned
• Usage data — service requests, notification preferences, login activity, and in-app actions

2. How We Use Information

• Provide CMRA (Commercial Mail Receiving Agency) mail management services
• Send transactional notifications — email, push, and SMS — about your mail and account
• Process payments and manage subscriptions
• Comply with USPS regulations, including Form 1583 recordkeeping requirements
• Improve the platform and resolve technical issues
• Respond to customer support requests

We share data with the following service providers only as necessary to provide our services:

• Mail scan and photo files — retained for 30 days after item pickup or completion, then automatically deleted per our lifecycle policy
• Form 1583 records — retained for a minimum of 4 years per USPS CMRA regulations (39 CFR §111.2)
• Account data — retained for the duration of your account and for a reasonable period afterward for compliance and dispute resolution
• Payment records — retained as required by applicable financial regulations

5. Your Rights

You have the following rights regarding your personal information:

• Opt-out of SMS — Reply STOP to any SMS message. See our SMS Policy for full details.
• Opt-out of email notifications — Update your preferences in the MailVue app or contact your store operator
• Request data deletion — Contact us at cs@bluebonnetmail.com. Note: certain records may be retained to satisfy legal obligations (e.g., Form 1583 retention)
• Request data access — You may request a copy of the personal data we hold about you by emailing cs@bluebonnetmail.com
• Correct inaccurate data — Update your profile in the app or contact your store operator

6. SMS Communications

If you affirmatively opt in, MailVue may send recurring transactional SMS notifications about mail arrivals, package arrivals, and pickup status at your participating mail center. Message frequency varies based on mailbox activity. Message and data rates may apply. Consent is not a condition of purchasing mailbox services. Reply STOP to unsubscribe, HELP for help, or START to resubscribe after opting out.

The sending number is not monitored for general conversations. Non-keyword replies may not receive a response; contact your mail center through your MailVue account or email cs@bluebonnetmail.com for MailVue assistance.

7. Security

We use industry-standard security measures including encryption in transit (TLS), access controls, and secure cloud infrastructure to protect your information. No system is perfectly secure — please use a strong password and keep your account credentials private.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification. Continued use of the service after changes constitutes acceptance of the updated policy.
